5 things you must consider

The wrong entertainment can ruin an event and, worse yet, project the wrong image about your organization. The right entertainment creates a positive buzz among participants and a favorable impression about your company.

How can you avoid making the wrong decision? The more you know, both about your event and the talent, the more informed your decision will be.   1. KNOW YOUR AUDIENCE – Is your audience young, older or a combination? Is it mainly men or women? Will spouses be attending or just co-workers and colleagues? If you understand your audience demographics and mindset, you can avoid booking entertainment that might annoy, offend or even bore participants. Will the attendees be relaxed and in a partying mood or more sedate? Discuss this with your agent.
  2. KNOW YOUR OBJECTIVE – What do you want your event to say about your organization? Do you want to come across as cutting-edge and daring or is a more conservative image more appropriate? Discuss this with your agent to make sure the entertainment reflects the right image for your company.
  3. KNOW YOUR BUDGET – Entertainment can run as little as $500 for a walk-around magician, $1,000 for a clean corporate comedian to well over $100,000 for nationally known talent. Don’t waste time pursuing entertainment that you can’t afford. Discuss with your agent your budget so no time is wasted on acts that are beyond your means.
  4. KNOW YOUR EXTRA COSTS – You may be able to afford the talent, but can you afford to produce the show? Many people overlook the additional costs associated with hiring performers. Additional costs can sometimes cost more than the actual performer. Some of these extra costs can include; air & ground transportation, hotel rooms, lighting & sound systems, stages, & insurance.
  5. KNOW WHEN TO HIRE A PROFESSIONAL – A talent agency is the fastest and most economical source for your event’s entertainment. They have already sourced out all the acts, they’ve seen them and know their history and fair market value. Some clients think they can get a cheaper price by dealing direct with the performer. Fact is a performer will always give an agent a better price point than a purchaser that will likely only hire them once. An agent has the potential to offer him multiple dates throughout their career. Agents have the experience to negotiate contracts and make sure you have no last minute surprises. Since agents contract performers on a daily basis, they know all the pitfalls. For example did you know that when you hire a non-resident performer that you may be required to deduct withholding taxes and send it to Canada Revenue Agency or the IRS? Agents can make sure you don’t end up incurring extra costs or fines.
